As a manager in EdWard, you may occasionally run into issues when approving, rejecting, or reviewing timesheets. This guide covers some of the most common problems and how to resolve them.
Why Can’t I Approve or Reject Certain Entries?
If you find that you cannot approve or reject some timesheet entries, there are two likely reasons:
You Are Not the Manager for That Role Position
- Employees may have multiple roles, but managers can only approve entries for roles they directly manage.
- If an employee’s timesheet includes entries for a role you do not oversee, those entries will be read-only for you.
- If you believe you should have approval access, contact your system administrator or HR to update the back-end permissions.
Previously Approved Timesheet Entries Cannot Be Re-Approved
- Once an entry has been approved, it is considered final and cannot be re-approved or modified.
- If an approved entry needs changes, the employee will need to contact HR or payroll, depending on your organisation’s policies.
Why Can’t I Edit an Employee’s Timesheet?
Managers have read-only access to timesheet entries and cannot make direct edits. If you spot an issue in an employee’s timesheet:
- Click on the timesheet entry to open the side drawer.
- Enter a comment explaining what needs to be changed.
- Click “Reject” to send the entry back to the employee for correction.
- (Optional) If the rest of the timesheet is correct, approve the remaining entries.
- The employee will receive a notification, make the necessary changes, and resubmit.
What Happens If I Forget to Approve Timesheets?
If timesheets are not approved by the due date, escalation processes will kick in. This varies by your organisation’s configuration but may include:
- Reminder Emails sent to you, your manager, or HR.
- Automated Escalation to senior managers if approvals are delayed.
- Payroll Processing Delays – If timesheets are not approved, they may not be submitted in time for the current pay cycle.
To avoid these issues, always check for pending approvals before the payroll deadline.
Can I Approve Some Entries and Reject Others?
Yes! You can approve some timesheet entries while rejecting others. Just:
- Approve correct entries individually.
- Reject incorrect entries with comments.
- Once all necessary actions are taken, click “Submit”.
What Happens After I Approve a Timesheet?
- The approved timesheet is sent to payroll for processing.
- The employee cannot modify approved entries unless HR intervenes.
- If you need to reverse an approval, contact HR or payroll support.
