If you’re experiencing issues while creating, submitting, or managing your timesheet in EdWard, this guide covers the most common problems and how to resolve them.

Why Can’t I Submit My Timesheet?

If the Submit button is disabled or your timesheet won’t submit, the most likely reason is:

You Have No Pending Entries to Submit

  • You must have at least one timesheet entry in a pending or rejected state to submit.
  • If you haven’t created any entries, there is nothing to submit.
  • If all of your timesheet entries are already approved, you cannot submit anything further.

How to Fix It:

  • Check your timesheet table—if it’s empty, add a new time entry.
  • If all entries are in an approved state, there is nothing left to submit.
  • If you need to add more hours, create additional pending entries.

Why Was My Timesheet Rejected?

If your timesheet (or part of it) was rejected, your manager will leave comments explaining why.

How to Fix a Rejected Timesheet Entry:

  1. Open “My Timesheet” and locate the rejected entry.
  2. Click the entry to open the side drawer.
  3. Scroll down to view manager comments.
  4. Make the necessary changes (e.g., adjust hours, fix an incorrect work type).
  5. Click Save, then resubmit your timesheet.

If you no longer wish to resubmit a rejected entry, you can delete it instead.

Why Is My Overtime/Entitlements Calculation Different Than Expected?

EdWard automatically calculates overtime, penalties, and entitlements based on your organisation’s rules. If your entitlements look incorrect:

Check the “Explain” Feature

  • Click on the underlined entitlements in your timesheet.
  • A pop-up will appear explaining how your entitlements were calculated.
  • If a value is time-based, click the question mark (?) to see a timeline of when the entitlement applied.

Confirm Your Shift Details

  • Some allowances only apply after a certain number of hours.
  • Your break times may have impacted the entitlement calculation.
  • If unsure, check with your manager.

Why Can’t I Edit a Submitted Timesheet?

After submission, your timesheet is locked for review by your manager. You can only edit entries if:

  • Your manager rejects an entry, in which case you can update and resubmit.
  • You withdraw your submission (if allowed by your organisation).

If you need to make urgent changes, contact your manager before approval.

Why Is My Leave Not Appearing in My Timesheet?

Leave entries in EdWard come from three different sources, so check the following:

If You Manually Entered Leave

  • Click “Add New Entry”, select “Leave”, and ensure you saved the entry.

If Leave Comes From an External HR System

  • Leave is automatically pulled in—if it’s missing, check with your HR team.
  • You can view leave entries but cannot edit them (you must update them in the HR system).

If You Requested Leave via EdWard

  • Approved leave requests will automatically appear in your timesheet.
  • If it’s missing, check the Requests tab to ensure it was approved.

What Happens If I Forget to Submit My Timesheet?

If you miss the deadline, your pay may be delayed. Depending on your organisation’s settings:

  • You may receive reminder emails before the deadline.
  • Your manager may escalate it if your timesheet remains unsubmitted.
  • Payroll may process late timesheets in the next pay cycle, but this varies by organisation.
