In EdWard, leave can be recorded and managed in three different ways, depending on your organisation’s configuration. This guide explains how to enter leave manually, how leave syncs from an external system, and how leave requests work through the request module.

Entering Leave Manually in a Timesheet

If your organisation allows leave to be recorded as a time entry, you can enter it manually through your timesheet:

How to Add Leave as a Time Entry:

  1. Go to “My Timesheet”.
  2. Click “Add New Entry”.
  3. In the Type drop-down, select “Leave” instead of a regular work type.
  4. Enter the required details:
    • Start & End Time (if needed).
    • Leave Type (e.g., Annual Leave, Sick Leave, Unpaid Leave).
    • Any additional notes or job codes (if applicable).
  5. Click “Add Entry”, and the leave entry will appear in your timesheet.
  6. Submit your timesheet as normal when ready.

Leave Synced from an External HR System

Some organisations sync leave from an external HR or payroll system. If this applies to you, leave entries will be automatically pulled into EdWard without needing manual input.

How Synced Leave Works: • When you log into EdWard, your timesheet will automatically update with leave from the external system. • These leave entries will appear in your timesheet like any other work entry. • You cannot modify these entries in EdWard—any changes must be made directly in your organisation’s HR or leave system. • You may be able to add comments or job codes to synced leave entries before submitting your timesheet.

What You Need to Do : Nothing! Your leave entries will be submitted with your timesheet as usual.

Requesting Leave via the Requests Module

If your organisation manages leave inside EdWard, you can request leave through the Requests Module. Once approved, the leave entry will automatically appear in your timesheet.

How to Request Leave in EdWard:

  1. Go to “Requests” in the left-hand menu.
  2. Click “Leave Request”.
  3. Select:
    • Leave Type (e.g., Annual Leave, Sick Leave).
    • Date Range.
    • Any additional details (if required).
  4. Submit your leave request for approval.
  5. Once approved, the leave will automatically appear in your timesheet.

Key Features and Notes

  • Manual Leave Entry: Select “Leave” in the Time Entry screen and enter details.
  • Synced Leave: EdWard pulls leave automatically from your HR system—no manual input required.
  • Request Module: Submit a leave request through EdWard, and it will appear in your timesheet once approved.
  • All leave types are submitted with your timesheet for manager approval.
